Bayside Summer Showcase — Performer Terms and Conditions

By registering for the Bayside Summer Showcase, the performer—or their parent or legal guardian if the performer is under 18—agrees to the following terms and conditions.

1. Registration

Performer registration costs $39 per performer.

A registration is confirmed only when the completed registration form and full payment have been received. Places are subject to availability and may close before 22 November 2026 if all performance places are filled.

A separate registration must be completed for each performer unless the Organiser agrees otherwise for a duo or group performance.

2. Performer information

The person completing the registration must provide complete and accurate contact information.

Performance details—including the performance title, music, duration and staging requirements—will be requested closer to the event. These details must be supplied by the deadline specified by the Organiser.

Failure to provide the required information by that deadline may affect the performer’s ability to participate.

3. Performance requirements

Performances must be suitable for the event’s audience, venue and available facilities.

The Organiser may request reasonable changes to a performance for safety, timing, technical or suitability reasons. The final running order and performance times will be determined by the Organiser and may change.

Performers must follow all reasonable directions given by the Organiser, venue staff and event personnel.

4. Music and other material

The performer is responsible for supplying their music or other requested material in the required format and by the stated deadline.

The performer confirms that they are entitled to use any music, costumes, choreography or other material they provide or perform. The Organiser may decline material that is unsafe, unlawful or unsuitable for the event.

5. Showcase Media Package

An optional Showcase Media Package may be purchased for $49. It includes:

  • A high-quality video of the registered performance

  • Approximately 10 professionally captured photographs

The number and style of photographs may vary depending on the performance, staging and conditions on the day.

The Media Package is for personal use only unless the Organiser provides written permission for another use. Editing, delivery method and expected delivery timing will be determined by the Organiser and communicated to purchasers.

If the Organiser is unable to provide the Media Package due to equipment failure, file loss or another circumstance within the Organiser’s control, the Media Package fee will be refunded. This does not automatically entitle the performer to a refund of the separate registration fee.

6. Photography and video

Photography and video recording will take place during the showcase. Consent for event recording and any promotional use will be collected separately during registration.

Choosing not to consent to promotional use will not prevent a performer from participating and will not affect their eligibility to purchase a Showcase Media Package.

While the Organiser will take reasonable steps to respect each person’s selected permissions, performers and attendees should understand that the showcase is a live event and may be photographed or recorded by audience members outside the Organiser’s control.

7. Performer cancellations and refunds

Cancellation requests must be submitted in writing to [email address].

If a performer cancels:

  • On or before 22 November 2026, the registration and Media Package fees will be refunded, less any clearly disclosed non-refundable booking or payment-processing costs permitted by law.

  • After 22 November 2026, fees are non-refundable for change-of-mind cancellations because event planning, scheduling and supplier commitments will have been finalised.

  • A registration may be transferred to another eligible performer only with the Organiser’s prior written approval.

Nothing in this section limits any rights or remedies available under the Australian Consumer Law.

8. Event changes, postponement or cancellation

The Organiser may make reasonable changes to the schedule, running order, venue or event arrangements.

If the showcase is postponed, registrations will be transferred to the rescheduled date. If the performer cannot attend the new date, they may request a refund within [seven] days of being notified.

If the Organiser cancels the showcase and does not provide a suitable replacement or rescheduled event, affected registration and Media Package fees will be refunded.

The Organiser is not responsible for additional expenses incurred by performers or attendees—such as travel, accommodation or costumes—except where responsibility cannot legally be excluded.

9. Health and safety

Performers and attendees must behave safely and respectfully and comply with venue rules and reasonable safety directions.

The Organiser may refuse participation or ask a person to leave if their behaviour is unsafe, disruptive, abusive or places another person at risk. No refund will be provided where a performer is removed for such behaviour, except where required by law.

Any relevant medical condition, allergy, accessibility requirement or safety concern should be disclosed to the Organiser before the event.

10. Personal property

Performers are responsible for their costumes, equipment and personal belongings. The Organiser is not responsible for loss, theft or damage except to the extent caused by the Organiser or where liability cannot legally be excluded.

11. Personal information

Personal information collected through registration will be used to administer the showcase, process payment, communicate with performers and deliver any purchased Media Package.

12. Australian Consumer Law

These terms do not exclude, restrict or modify any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.

13. Acceptance

By submitting the registration, I confirm that:

  • I have read and agree to these terms and conditions.

  • The information I have provided is accurate.

  • If the performer is under 18, I am their parent or legal guardian and am authorised to register them and provide the applicable permissions on their behalf.
